The challenge

Fragmented Financial Data Across Complex Hospitality Operations

As a growing brewery and hospitality business expanded its operations across multiple revenue streams and transaction channels, maintaining accurate financial records became increasingly complex. The business needed reliable reporting, reconciled accounts, and confidence in its Business Central data, but system inconsistencies, fragmented transactions, and delayed reconciliations were creating financial uncertainty.

Duplicate and inconsistent Business Central entries

Business Central contained duplicate transactions and other data inconsistencies. Differences between the Profit & Loss statement and Balance Sheet made it difficult to validate reports and determine whether the recorded financial position was accurate.

Fragmented, non-linear workflows

No single standardized AP workflow existed. Every site followed local practices, forcing the team to chase missing paperwork, clarify job codes, and request retroactive approvals.

Complicated QBO-to-Business Central migration

Differences between the QuickBooks Online and Business Central Charts of Accounts created challenges during the migration. The transferred trial balance did not align correctly, requiring a detailed review of account mappings, opening balances, and historical records.

POS sales and coding discrepancies

Sales transactions imported into Business Central did not consistently match the POS records, while related items such as discounts, tips, sales tax, and processing fees were often posted to incorrect general ledger accounts. These issues distorted revenue reporting and account balances, requiring detailed review and correction.

Unstructured financial reporting codes

Reporting codes within Business Central had not been organised correctly. As a result, financial reports were incomplete, inconsistently classified, or unable to present the level of detail management needed to review performance.

Inventory reconciliation issues affecting profitability

Inventory balances and stock movements recorded through Yellow Dog Inventory were not properly reconciled with Business Central. These discrepancies resulted in inaccurate Cost of Goods Sold (COGS) calculations and unreliable gross profit figures, making it difficult to assess inventory accuracy, product margins, and overall profitability.

Shogo vs. POS Coding Misalignment

Sales data transferred from the POS system through Shogo was not correctly aligned with Business Central’s general ledger structure. Incorrect account mapping led to errors in sales, tax, fee, and payment-related reporting.

Reconciliation gaps across multiple sources

Bank accounts, credit cards, loans, intercompany transactions, and third-party delivery platforms including Uber Eats, DoorDash, and GrubHub required separate reconciliation, but outdated records and unresolved differences were impacting reporting accuracy.

Complex intercompany accounting requirements

Transactions between related entities added another layer of complexity, requiring accurate tracking of balances and financial movements to maintain a clear view of overall financial position.

A six-month reconciliation backlog

Accumulated accounting issues over several months created a significant backlog, reducing confidence in financial reporting, delaying corrections, and limiting leadership’s ability to make timely decisions.

The transformation

A Financial Environment Built on Accuracy, Visibility, and Control

Clean financial records, reconciled accounts, and dependable reporting replaced manual corrections and inconsistent data. With greater transparency across its financial operations, the business was able to monitor performance with confidence and make decisions backed by reliable information.
